Branding –
We are happy to brand the system for our clients, this helps promote the culture of ‘ownership’ of health and safety responsibilities across your business.
Corporate Structure –
The system has a tree structure that can accommodate the concept of Group, Division, Site, and Site specific activities.
Selection of Site specific activities –
As the system holds a huge library of information and example Risk Assessments, we have a selection function to enable you to identify appropriate site activities e.g. office, workshop, transport, etc, this automatically imports the feature you will require.
System Administrator functions -
Add/Edit sites; Sites may be added deleted or moved between e.g. trading divisions, or, regions.
Add/Edit users; Users may be individually added or added as part of the ‘User Import Wizard’ for multiple users imported from the HR application.
User Permissions; Permissions range from ‘View Only’ which would allow visibility of ‘Information’ and ‘Risk Assessment’ sections but would also allow entry of ‘Accident Records’ by every user.
The permissions structure is set out as a management hierarchy through to systems manager who has all permissions including data deletion (we do retain the data per the previous back-up, just in case of error).
User Report; Provides an immediate overview of all authorized users as site level according to permissions granted by the systems manager.
Information –
There are 9 categories of Information; Executive Summary, Organisation, Legal Information, Reference Library, Management Information, Personnel & Persons at Risk, Specific Hazards, Process & Equipment Hazards, What to do if -.
Each category contains sub-sections and practical explanations of; what is required, definitions of terms and jargon, links to regulations and guidance documents, all written in a very straightforward manner by people who actually do run a business themselves.
Records –
There are 12 categories of Records, these include your; Policy, Manual, Handbook, Fire Marshalls, Incident & Accident, Employee Records, PPE Issue, Inspection & Consultations, Fire Systems, Work Control, Works Equipment & Systems.
Within each category are simple templates already for you to populate. All Records are linked to the Diary and Auto E Mail functions so you get notification of items due action.
Risk Assessment –
There are over 100 individual Risk Assessments prepared in the system for you to simply select and edit to be applicable to your particular business.
There is a straightforward process to Risk Assessment that is explained for you to simply follow on screen.
Risk Assessments may be updated and edited subject to your experience of your business operations.
Diary –
The Diary automatically schedules activities across a year and is viewed as a planner by; month, or, year, to enable an overview, or, detailed view, of what actions are outstanding, or, due. Records are automatically linked to the Diary to show when individual items may be due inspection or testing.
Auto E Mail –
The system automatically generates e mails 14 days before an action is due, this is repeated at 7 days and again on the date the action goes overdue, at which point the e mail is escalated in the management structure.
This allows you to manage your system pro-actively or re-actively according to style and time available.
Auto E Mails may also be generated to notify system managers of Accidents on sites geographically dispersed around the country.
Tasks –
The system administrator may allocate Tasks to other users as appropriate with an e mail trail of those requests.
Announcements –
These can be generated by the system administrator for all users to see immediately they Login.
Latest News –
We continually monitor press and HSE to ensure any real health and safety stories are made available and are made relevant to your business.
HSE tell us that 80% of us, if we hear of an accident or intervention in our peer group businesses will check ‘our own house is in order’.
That obviously makes good commercial sense.
Updates –
The system is continuously updated in the light of new legislation or interpretations.
The system structure mirrors your organisational requirements, is very simple to navigate – at most you are only ‘4 clicks’ away from any part of the system. All pages may be printed along with all the free HSE guidance documents we give you access to.
Resources -
There is a whole section of ‘Training Resources’ which we use ourselves and make available, free, to our clients.
We additionally have links to a range of E Learning modules, including induction courses and ‘Working Safely’, certified by IOSH.
We provide on site user training if required.
We can provide consultants, or, auditors if required.
We can help organise Occupational Health monitoring for you.
